A good meetup turns one day into weeks of content and a few new partners you can call again. A bad one is a group chat that never picks a date. Here is how to get from idea to shoot day.
1. Pick the city and dates first
Everything else follows from where and when. If you travel, plan around the trip. If you are local, pick a weekend two to four weeks out so people can plan.
Check who is around. City pages like Los Angeles, Miami and New York show creators in that area, and the collab schedule shows who is filming where and when.
2. Post a collab call
Instead of DMing twenty people, post one clear collab call with the city, dates, content type and what you are offering. Interested creators apply and you pick. Our guide to writing a collab call that gets replies covers what to put in it.
3. Check out everyone who replies
Look at their profile and content, confirm their X account, and do a short video call. The creator collab safety checklist has the full list.
4. Book a neutral location
- A rented studio for photo and video
- A short-term rental or hotel suite for a relaxed shoot day
- A public venue for a first social meetup with no filming
Look at the city events page too. For example, Los Angeles events and Miami events list SFW happenings that work as an easy first meet.
5. Put the terms in writing
Before anyone arrives, agree who owns what, where it gets posted, how tagging works and how costs are split. A shared note everyone confirms is the minimum. Our content swap agreement template is a good start.
6. Make a shot list
Plan by outfit and setup, not by the hour. A simple list might be:
- Solo sets for each person (so everyone leaves with something)
- Pairs in each combination people agreed to
- Group photos for promo and social posts
- Short clips for X and other platforms
7. Confirm 48 hours out
Send one message with the address, start time, parking, what to bring and the agreed terms. Ask everyone to reply yes. Anyone who does not confirm is a maybe, so plan around them.
8. On the day
- Check ID for everyone on camera and keep copies
- Restate limits before filming
- Take breaks and keep water and food around
- Back up files before people leave
9. After
Share files when you said you would, tag each other, and post about the meetup. People who had a good day will want to do it again, so ask while it is fresh.
